All Personal Information collected by the Foundation about scholarship applicants is used to review applications, and to administer and monitor awards, which are at the heart of the Foundation’s mission of facilitating the “getting to the next level of education”. Consistent with these purposes, you should also expect that information collected by the Foundation may come to be used and disclosed in the following activities:
- As part of the review process, applications are disclosed to the selection committee appointed by the Foundation. All participants in these review activities are advised of the Foundation’s expectations with regard to the confidentiality and protection of the information entrusted to them.
- Because the Foundation has a single database, staff are generally aware of applications submitted.
- For the purposes of adjudication and award administration, the selection committee is provided with multi-year summaries of an individual’s applications and awards.
- The Foundation routinely publishes and disseminates certain details about successful applications, including the name of the applicant, a biography, the amount awarded, the institution and department where they study, the field of research, and the project title of their research. The information will normally be published on the Foundation’s website.
- Files and databases containing personal information may also be used by the Foundation for planning, evaluation and review, and in audits, and for generating statistics for these
activities. - The Foundation collects data on gender, age groups, language, disciplines, the locations where candidates and award winners study, citizenship, and research. This data is not used in the adjudication process. It is used for statistical purposes and to improve the Foundation’s Services to award winners.
- The Foundation uses the information in its files and databases to generate mailing lists in order to
disseminate its publications and other information to its community.
We may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.
How we secure, store and retain your data
We follow generally accepted standards to store and protect the personal information we collect, both during transmission and once received and stored, including utilization of encryption where appropriate.
We retain personal information only for as long as necessary to provide the Services you have requested and thereafter for a variety of legitimate legal or programming purposes. These might include retention periods:
- mandated by law, contract or similar obligations applicable to the Foundation operations;
- for preserving, resolving, defending or enforcing our legal/contractual rights; or
- needed to maintain adequate and accurate Foundation and financial records.
What rights you have over your data
If you have an account on this site, have submitted scholarship applications, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You have the rights to request the correction of your Personal Information. You can also request the erasure of any personal data we hold about you, but this does not include any data we are obliged to keep for administrative, legal, or security purposes.
